The document specialist will be expected to perform in-depth analysis of the documents and records to be managed and maintained for the Generation OU. The specialist will be responsible to resolve and troubleshoot technical issues with the electronic and physical storage including accurate classification, retention and destruction of records. Document specialist will develop document and records management policies and procedures specific to the business. The specialist will lead the implementation of document and drawing programs at the field locations of Generation OU and will collaborate with the client to support their document and drawing needs. The document specialist will be expected to travel to field locations of Eastern and Western operation departments to manage on-site document and drawings. Specialist will be responsible to perform the gap analysis to resolve the document and drawing concerns and will provide the recommendations for the optimum solutions.
Routine Support – Electronic Document management in eDMRM, supporting clients for its functionality and validate the folder structure according to SCE RM policy for their new or old documents. Ensure accurate classification and retention is applied to the records. Execute in-depth analysis and research to resolve the data/document requests. Maintain inventory of Generation drawings in Corporate Drawing Management (CDM). Be fully responsible to control the check-in and out process of the drawings in CDM. Provide drawing support to the engineering projects, by searching them in CDM with the technical expertise, coordinating with vendors for their drawing needs and ensuring a complete and accurate turnover in align with SCE CAD standards. This requires technical knowledge on the drawing discipline, types and other CAD drafting guidelines. Maintain the status of the drawings by CADDing the system changes on the prints, when instructed by the engineer. Maintain physical records on site, including Generation Box inventory at Corporate Record Center.
DRM Programs/Process Support – Support electronic document management program, including design, migration and implementation of electronic document management system, eDMRM. Support Drawing Management Process for the health and integrity of drawing inventory. Develop and execute Preventive Maintenance work order on identified critical drawings.
Project Support for documents and Drawings - Provide drawing support to the engineering projects, by searching them in CDM, coordinating with vendors for their drawing needs and ensuring a complete and accurate turnover in align with SCE CAD standards. Support drawing standardization projects managed by DRM manager. This is to CADD the SCE title block and filling in the accurate information. And submit the drawings to CDM after edisonizing them. Support drawing as-built projects, managed by DRM manager. This is to upgrade the drawings with existing mark-ups to their current revision. When needed, draft the CAD drawings for the changes as per site supervisor.
Policy and Procedure Support - Support the development of Document Management policies and procedures for Generation OU. Manage a separate eDMRM library to maintain all the policies a 30%nd procedures of Generation business. Support the periodic review process and standardization of the documents.
Record Management professional skills - Manage or maintain database
Experience in handling engineering drawings
Bachelor Degree in specialized field or an equivalent combination of education, training, and experience.
Essential AUTOCAD certification for engineering Drawing standards
3-5 year experience and thorough knowledge with the specific business line documents
3-5 years in handling of engineering drawings
The primary work location for this position is Rosemead, CA
Candidates for this position must be legally authorized to work directly as employees for any employer in the United States without visa sponsorship.
Travel (15%) to field locations of Eastern and Western operation departments to manage on-site document and drawings.
